This Privacy Policy explains how GymPro collects, uses, stores, and shares information when gym owners, staff, members, and visitors use our gym-management platform, website, and related services.
1. Information we collect
Depending on how you use GymPro, we may collect:
- Account information: names, usernames, email addresses, phone numbers, login details, roles, and gym affiliation.
- Member information: member IDs, contact details, profile photos, membership plans, fee and payment records, attendance, and notes entered by an authorised gym.
- Biometric-related information: where enabled by a gym, facial images or face-recognition data used to identify members and record attendance.
- Usage and device information: IP address, browser and device details, log data, and interactions with the service.
- Communications: information you provide when requesting support, a demo, or a password reset.
2. How we use information
- Provide, maintain, secure, and improve GymPro.
- Manage memberships, billing records, attendance, reports, and gym operations.
- Authenticate users, prevent fraud or misuse, and troubleshoot technical issues.
- Send service messages, support responses, payment reminders, and other communications requested by a gym or user.
- Comply with applicable law and enforce our agreements.
3. Gym and member responsibilities
GymPro provides software to gyms. Each gym controls the member information it enters into the platform and is responsible for giving its members appropriate notices and obtaining any consent required for collecting or using their information, including facial images or face-recognition features. Members should contact their gym first to access, correct, or delete information held by that gym.
4. How we share information
We do not sell personal information. We may share information only when needed:
- With authorised staff and users of the gym that provided the information.
- With service providers that support hosting, communications, security, analytics, or customer support, subject to appropriate safeguards.
- When required by law, legal process, or to protect the rights and safety of GymPro, our customers, or others.
- As part of a merger, acquisition, financing, or sale of assets, with notice where required.
5. Data retention and security
We retain information for as long as needed to provide the service, meet contractual obligations, resolve disputes, and comply with legal requirements. We use reasonable administrative, technical, and organisational safeguards to protect information. However, no electronic transmission or storage system is completely secure.
6. Your choices and rights
Subject to applicable law, you may request access to, correction of, or deletion of your personal information, or object to or restrict certain processing. Gym staff and members should normally submit requests through the gym that manages their account. We may need to verify your identity before completing a request.
7. Children
GymPro is intended for use by gyms and their authorised users. A gym that adds information about a minor must have the authority and any consent required to do so. Our website is not directed to children for independent use.
8. Changes to this policy
We may update this policy from time to time. We will post the revised policy on this page and update the effective date above. Where required, we will provide additional notice of material changes.
